Acceptance of These Terms

These Terms of Service form a binding agreement between you and INDY CAT CLUB INC, a clubhouse cattery operation at 2648 Branigin Creek Blvd, Franklin - 46131-7507, United States (US). By applying for membership, booking a tour, submitting a show sheet, requesting an adoption window visit, reading the public pages of this website or using any service described here, you accept these terms in full.

If you do not accept these terms, please do not use the services. A member who disagrees with a later update may close the membership under the section on suspension and termination, and the office will honour that request in a straightforward way. These terms are written for a small club and are meant to be read by ordinary people, not by lawyers alone.

These terms apply alongside our Privacy Policy. Where the two documents touch the same subject, the Privacy Policy controls how personal information is handled and these terms control how the services work. You can reach the membership desk at membership@indycatclub.com or by phone at +16088054953 with any question about the agreement.

About the Club

INDY CAT CLUB INC operates a clubhouse cattery row in Franklin, Indiana. The row is three condos deep, with private sleeping shelves, a feeding mat and a sisal scratch post at the end. The club supports show preparation, adoption placement and retirement for cats that have finished a show career.

The club runs six working desks along the row: show sheet bays, member roster runs, litter note desks, adoption windows, health check review rounds and show sittings. Details of each desk appear on the services page of this website, and these terms apply to every one of them. The clubhouse office keeps the paper and digital records that hold the row together.

Nothing in these terms makes the club a vet practice, a boarding kennel or a rescue organization. The club works with a vet partner for health review rounds, but the club does not provide medical treatment and does not replace the advice of a qualified vet. A member who needs care for a cat must arrange it through the vet of that member choice.

Membership

Membership begins when the office accepts a completed application and the applicant confirms the details on the roster. The office may ask for a short conversation before accepting an application, and that conversation is usually a tour of the row. We do not accept an application that is incomplete, that names a household we cannot verify, or that asks us to keep an entry we cannot honestly stand behind.

A membership is held by a household. The household names the person who speaks for the membership in roster matters, and that person receives the show sheets and renewal notices. Members may request a second contact line for a spouse or partner at no extra charge. A member who moves must update the roster address within thirty days so that mailings continue without interruption.

  • A complete application with a verified household record
  • Acceptance by the office after an application review
  • Payment of the annual dues for the current season
  • Agreement to the club rules and to these terms
  • Confirmation of the roster entry by the member

Membership is personal to the household and may not be sold, transferred or shared with a business partner. A breeder who wish to register a programme name may do so through the office, and the roster will note the name beside the household. A member who is suspended may not apply again under another name while the suspension is in force.

Dues, Fees and Payment

Annual dues are set each season and announced to members before the renewal window opens. A renewal notice states the amount due, the date by which it should be paid and the method to use. Show entry fees, stall fees and adoption administrative fees are announced separately for each event and each placement.

Payment is made in the manner the office directs in the notice. We do not ask for card details through this website, and a member should treat any message that asks for card details through a link as suspect. If a payment notice looks wrong, call the office at +16088054953 before responding to it.

Dues are refundable in full if the office declines a renewal for a reason the member could not have known. Refunds for show fees are covered later in these terms. Late payment does not remove a member from the roster at once, but it may hold a show entry until the balance is cleared, and the office will say so in writing before the event.

Show Sheet Bays

The show sheet bays turn an entry into a show entry. A member submits the entry form, the pedigree copy and the current health certificate to the bay, and a clerk reads each line against the club register. The clerk may ask for a correction before the sheet is accepted, and the member is expected to provide accurate information at that point.

A submitted sheet is not final until a second clerk has read it and initialled the correction. Once the sheet enters the event binder, a change requires the approval of the bay lead. This rule protects a cat from being entered in a class it does not fit and protects the club from a query at the ring.

A member may withdraw an entry before the binder closes and receive a refund of the show fee in full, less any cost the club has already committed to the event. After the binder closes, a withdrawal is a matter for the bay lead and may not be refundable. If the club withdraws a cat on health grounds, the fee is returned in full and the member is told the reason in writing.

Member Roster Runs

The member roster is refreshed each week against the dues ledger and the mail list. Roster runs decide the stall order at the clubhouse and the seating at the annual meeting. The rotation rule is printed at the head of the roster, and the club applies it without favour so that the same families do not always sit closest to the ring.

A member is responsible for the accuracy of the contact lines held against the membership. The office corrects a line within two business days of a written request. If a mailing fails because an address was not updated, the member may lose a show notice, and the club is not responsible for the missed notice where the failure came from out of date member details.

The roster is confidential to the office team and the membership committee. A member who receives a roster printout must not share it outside the household, must not use it for a commercial mailing and must return or destroy it when the meeting ends. Breach of this rule may lead to suspension under the section on suspension and termination.

Litter Note Desks

Every litter raised under the club banner keeps a written note from birth to departure. The litter note desk holds the written page in a flat file and the office keeps a typed index. The written page is the original, and when the two disagree the written page wins until the desk reviews the entry with the breeder who wrote it.

A breeder who submits a litter note must give accurate information and must sign the page in ink. The desk may decline a note that is incomplete, that lacks a signature or that appears to describe a different litter. A note that is declined is returned with a short explanation, and the breeder may correct and resubmit it before the next run of the desk.

The club may use a litter note to answer a pedigree question from a buyer, a vet or an adoption family. The member who owns the cat is named in the note, and that naming is part of the record. A member who wishes to restrict the sharing of a note must say so in writing at submission, and the desk will honour the restriction unless the law requires a disclosure or a health concern makes a limited disclosure necessary.

Adoption Windows

An adoption window is a posted visiting period during which a family may meet a cat that is ready for a home. Windows open on a printed schedule and close with a signed application. The club asks that a family arrive within the booked slot, that it keeps the visit calm, and that it does not bring an unfamiliar animal into the row.

An application is reviewed within a few days. The club looks for a home that can meet the feeding plan, keep the indoor routine and continue care with a vet. The club may decline an application where the home does not meet those needs, and the decision is given in writing with a short reason. A declined family may apply again for a different cat in a later window.

  • A booked slot within a posted adoption window
  • A completed application with household routine notes
  • Agreement to the feeding, routine and vet care plan
  • A signed placement agreement at the point of handover
  • Follow up notes shared with the club in the first months

A placement is final once the agreement is signed and the cat leaves the row. The club offers follow up support in the first months, and a family that meets a problem is asked to call the office before making a different arrangement for the cat. A cat placed through the club may not be sold on, and must be returned to the club if the family can no longer keep it. An administrative fee may apply to cover the desk cost of the placement, and the amount is stated before the agreement is signed.

Health Review Rounds

A vet partner walks the row on posted mornings and records every observation in the round book. The round book is a care record, and the club expects a member to accept a follow up action that the vet partner schedules. A cat with an open question on the round book is held back from a show sitting until the question is closed.

The club may refuse to take a cat onto the row where the health record is incomplete or where the cat cannot safely share the row with others. The refusal is made in the interest of every animal on the row, and it is explained to the owner. A cat that arrives without a current vaccination record will not be admitted.

The club does not provide treatment and does not set a diagnosis. The vet partner works with the owner of the cat, and the owner remains responsible for the cost of care. Where the club arranges an urgent vet visit for a cat whose owner cannot be reached, the owner is asked to reimburse the cost, and the club will provide the invoice and the round note to support the claim.

Show Sittings

A show day is long for a cat, and the sitting desk exists to shorten it. Members on the sitting rota take turns with entered cats, watch the rest shelf, refill water, brush a coat before a class and record how much a cat eats. The sitting log tracks each cat hour by hour so no cat works two long blocks in a row.

A sitter must follow the sitting brief printed by the office, must not discuss a cat with the public while sitting, and must report any change in a cat condition to the desk at once. A sitter who cannot attend must call the desk as early as possible so a replacement can be found from the clubhouse row rather than at the ring.

The club is not responsible for a loss that follows from a sitter failing to follow the brief. A sitter who acts in good faith and reports a problem promptly will be supported by the club, and the office will keep the sitter record with the event binder. A repeated failure to follow the brief may lead to removal from the rota and, in a serious case, to a review of the membership.

Member Conduct

Members are expected to treat animals and people with courtesy on the row. A clubhouse cattery is a quiet place where cats rest between classes and visits. Loud argument, rough handling of a cat and any act that frightens a row resident are grounds for a conversation with the office and, in a serious case, for suspension.

A member must not bring an unvaccinated cat onto the row, must not leave a cat unattended in a common area and must not feed another owner cat without a written note from that owner. A member must not take a photo of another member or another cat for a public post without permission. These rules are short on purpose and are applied to every member in the same way.

  • Treat every cat on the row gently and without hurry
  • Keep vaccination records current for any cat on site
  • Do not feed or handle another owner cat without a note
  • Ask permission before photographing people or animals
  • Raise a concern with the office rather than on the row

A member who is asked to leave the row for behaviour that puts an animal at risk must comply at once. The office will follow up in writing, and the member may ask for a review of the decision. A membership is not a licence to act badly toward another person, and the club will act on a credible report even where the member who made it asks to remain unnamed.

Use of This Website

This website exists to explain the club and to help a visitor reach the membership desk. A visitor may read the pages, print a page for personal use and follow the links to the membership desk. A visitor may not copy the site content into another website, may not scrape the site for a mailing list and may not attempt to interfere with the server that hosts the pages.

The contact form opens a draft in the visitor own email program. A visitor who uses the form is responsible for the content of the message and must not use the form to send unlawful material, a threat or a commercial advertisement. The office may decline a message that does not concern the club and may block a sender who abuses the form.

We try to keep the site accurate and current, but the site is offered as it stands. A page may be out of date with a service that has changed at the clubhouse. Where a detail matters, such as a date or a fee, the visitor should confirm it with the office by email or phone before relying on it.

Intellectual Property

The text, layout, styling and graphics of this website belong to INDY CAT CLUB INC unless another owner is named. The club name and the club marks may not be used in a way that suggests a partnership or an endorsement without written permission from the office. A member may describe the membership in ordinary words, such as a line on a personal page that says the household is a member of the club.

The written design that gives this site its appearance belongs to the club and to the developer Indy Cat Club, which maintains the site for the club. A visitor may not reproduce the design as a template for another site. The club publishes show results and club notices for the benefit of members, and those notices remain club material even after they are shared on the row.

A member who submits a photo or a written note for a club notice grants the club permission to use that material in that notice. The permission is limited to the notice and to a later archive of club notices. A wider use, such as a public campaign, requires a separate permission, and the office will ask for it in writing before any such use begins.

Privacy and Personal Information

The club handles personal information as described in the Privacy Policy published on this website. The policy explains what the club collects, why the club collects it, how long the club keeps it and what choices a member has. These terms do not replace the policy, and the policy does not replace these terms. Read both together.

A member is responsible for keeping the contact lines in the roster current. The office uses the roster to send a show sheet, a renewal notice and, where needed, a health follow up. A member who does not update an address or an email line may miss a notice, and the club is not responsible where the failure came from out of date member details.

The club shares limited information with the vet partner, the show stewards and the adoption families described in the policy. A member who has a question about a specific disclosure can write to membership@indycatclub.com and ask for a copy of the relevant record under the rights described in the policy.

Limitation of Liability

The club provides the services described in these terms with reasonable care. The club does not promise a particular show result, a particular adoption outcome or a particular health outcome for a cat. A show is judged by other people, an adoption depends on a family, and a health question depends on the animal. The club can promise careful records and fair dealing, and that is the extent of the promise.

To the fullest extent the law allows, the club is not liable for an indirect loss, a lost opportunity, a lost show award or a loss that follows from a decision made by a judge, a vet or an adoption family. The club is not liable for a loss caused by a force outside its control, such as a severe storm, a closed road, a power failure or a public health order that closes the clubhouse.

Where the law does not allow a complete exclusion, the liability of the club is limited to the amount the member paid to the club for the service that gave rise to the claim in the twelve months before the claim. This limit does not apply to a claim that cannot be limited by law, such as a claim for personal injury caused by the club own negligence.

Indemnity

A member agrees to cover the club for a loss that the member causes through a breach of these terms or through careless conduct on the row. An example is a member who brings an unvaccinated cat onto the row and causes a health problem for another cat; that member is responsible for the reasonable cost of the care that follows. Another example is a member who shares a roster printout and causes a privacy problem for another member.

The indemnity covers reasonable legal costs as well as the direct loss. The club will tell the member about a claim promptly and will give the member a fair chance to respond before the club takes a step that increases the cost. The club will not settle a claim in a way that admits a fault by the member without telling the member first.

This section does not apply where the loss was caused by the club own negligence or by a decision the club took against the advice of the office team. The purpose of the section is to keep the row safe for every animal and every member, not to shift a burden that belongs to the club.

Suspension and Termination

The club may suspend a membership while it reviews a serious concern, such as a health risk on the row, a breach of the roster rule or conduct that puts an animal or a person at risk. A suspension is confirmed in writing within two business days, and the member is told what the concern is and what step will follow. A suspension is not a termination, and the office will keep the door open to a review.

The club may terminate a membership where a concern is not resolved, where a serious breach is confirmed or where a member asks to close the membership. A member who wishes to close a membership can write to the office at any time, and the closure takes effect at the end of the current season unless the office agrees to an earlier date. Any dues already paid for a future season are returned in full.

On termination, the club returns any material the member has left on the row, closes the roster entry and keeps the records the law requires. A terminated member may ask for a review in writing within thirty days. The club may also end a service to the public, such as an adoption window, where a problem makes it unsafe to continue, and will announce the change on the homepage.

Disputes and Governing Law

These terms are governed by the laws of the State of Indiana and the laws of the United States that apply in Indiana. A dispute that cannot be settled by a conversation with the office will be handled in the state or federal courts that sit for the county in which the clubhouse is located.

Before any formal step is taken, the parties agree to try a written resolution. A member who has a concern should write to membership@indycatclub.com with a clear account of the facts and the outcome that the member seeks. The office will reply in writing within thirty days. Most concerns are settled at this stage because the paper record makes the facts plain.

If the written step does not settle the matter, the parties may agree to a trained mediator before going to court. A small claim can be brought in a small claims court where the amount and the subject allow it. Nothing in this section stops a party from asking a court for an urgent order where an animal is at risk.

Changes to These Terms

The club reviews these terms each year and whenever a program changes in a way that affects a member. A material change is posted on this page with a fresh effective date, and members are told by email so that no one learns of the change by accident. A change does not apply to a matter that was settled before the change took effect.

A continuation of membership after the effective date of a change counts as acceptance of the new terms. A member who does not accept a change may close the membership under the section on suspension and termination and receive a return of any dues paid for a future season. The office will not make a change with the purpose of avoiding a duty that these terms already set.

Small edits that correct a typo or clarify a sentence may be made without a separate notice. The effective date is refreshed on every edit, and the prior version is kept in the office for reference. A member can ask for a copy of a prior version at any time.

How to Contact Us

The membership desk of INDY CAT CLUB INC is the first point of contact for any question about these terms. Write to membership@indycatclub.com, call +16088054953, or send a letter to the clubhouse at 2648 Branigin Creek Blvd, Franklin - 46131-7507, United States (US). The office answers on business days between nine and five Eastern time.

Please state the subject clearly, such as a question about a show sheet, a roster line, a litter note, an adoption window or a show sitting. A volunteer will acknowledge the message, tell you who is handling it and give a date by which you can expect a substantive reply.

If the reply does not resolve the matter, a member can ask for a review by the office team. The request should be in writing and should state what part of the reply is incomplete. The office team will review the file and respond in writing.
